Switching QuickBooks Online Accounts

While it is not generally recommended to switch QuickBooks Online accounts after integrating with MediaOS, we understand that certain business needs may require a transition. MediaOS offers a structured, supported process to help you complete the switch with minimal disruption to your operations.

Important Considerations Before Switching #

Before moving forward with a QuickBooks account switch, it is critical to understand several key points. Once your existing QuickBooks Online account is disconnected from MediaOS, all invoicing and payment data tied to that account will be permanently removed from the MediaOS platform. It is your responsibility to export a complete copy of your invoices and payment records before the disconnection. MediaOS does not offer support for merging or importing historical financial data into your new QuickBooks account.

Additionally, after connecting to the new account, you will need to re-map all products and financial accounts to ensure that your MediaOS setup aligns correctly with the new QuickBooks configuration. Proper preparation is essential to avoid gaps or errors after the transition.

How to Begin the Switch #

If you decide that switching to a new QuickBooks Online account is necessary, the first step is to contact the MediaOS Support Team at support@mediaos.com. A support representative will coordinate with you and schedule a call to walk through the transition process step-by-step.

Before any disconnection occurs, you must export all relevant invoices and payment data from your current MediaOS system. These records will no longer be available after the switch, so maintaining a secure backup is critical.

Preparing Your New QuickBooks Online Account #

Prior to the switch, your new QuickBooks Online account should be fully prepared. This includes importing any necessary financial records such as accounts, invoices, payments, and creating any required QuickBooks Items. Having your new environment ready ensures a smoother transition and minimizes downtime.

Once your new QuickBooks setup is complete, notify your assigned MediaOS support contact to confirm that you are ready to proceed.

Finalizing the Switch #

After confirmation, the MediaOS team will officially disconnect your current QuickBooks Online account from MediaOS and verify that all associated accounting data has been cleared from the platform. Once you receive confirmation that the disconnection is complete, you will be able to connect your new QuickBooks Online account by following the standard integration process.
