Custom Contract Line Items

Use custom line items to account for freelance services, design work, or other external costs directly in your contracts.

Why Use Custom Line Items? #

If your business regularly works with freelance photographers, ad designers, or other external vendors, Custom Contract Line Items let you clearly represent these added costs in your client-facing contracts. You can use this feature to assign set values to common external services, such as a “Design Fee” or “Photography Surcharge.” It also helps communicate the value of package components that aren’t included in a base rate, making the value of each element transparent to your client. Most importantly, it allows you to tailor every contract to the specific scope and needs of each campaign or project.

How to Create a Custom Line Item #

To create a new line item for your contracts, start by clicking your profile icon in the bottom-left corner of the screen and selecting System Settings. Once you're on the settings page, navigate to the Sales section and click the Contract Line Items tab.

Next, click the orange + Add Line Item Type button in the top-left corner of the screen. This will open a form where you can define the new contract line item. Enter a name that clearly describes the fee, such as “Design Fee,” and then use the QuickBooks Item dropdown to link it to the appropriate accounting category for reporting and invoicing.

When everything is filled out and accurate, click Save. Your new line item will now be available for use in future contracts, giving you more control and customization in how you build proposals and manage external costs.

Pro Tip: Creating a library of commonly used line items ahead of time makes contract creation faster and ensures consistency across your team.
