Common Invoicing Columns

Customize the invoice table in MediaOS to display key financial and operational data at a glance.

Why Customize Your Columns? #

The Invoices page in MediaOS features a customizable table that lets you tailor the view to show the data most relevant to your workflow. Whether you're tracking billing activity, payment status, or client details, adjusting your visible columns gives you immediate access to what matters most—without exporting or opening individual invoices.

Note: The invoice table supports up to 15 visible columns at a time. Choose wisely to create a view that supports your team’s daily invoicing needs.

Customizing Your Columns #

To begin, click Accounting in the left-hand navigation menu. On the Invoices page, look for the column customization icon (3x3 Grid Icon) located just below the Send Statements button on the right-hand side of the screen.

Clicking this icon will open a popup window where you can select which columns to display or hide. Simply check or uncheck the boxes next to each field. Your preferences will immediately update the invoice table layout.

Frequently Used Columns #

When working within MediaOS invoice reports, several columns are commonly used to organize and review key financial information. The No. column displays the unique invoice number assigned by MediaOS, helping you quickly reference specific invoices. The External Number column shows the corresponding invoice number from QuickBooks Online, which is especially useful for verifying sync status; this column is only available if your account is integrated with QuickBooks. The Account column lists the company name associated with the invoice, while the Created column indicates the date the invoice was originally generated in the system.

The Due Date column displays the payment deadline, making it easy to identify overdue invoices. Last Emailed shows the most recent date the invoice was emailed to the client, whether manually or through an automated campaign. The Status column reflects whether the invoice is marked as Paid or Unpaid—if a payment has only been partially received, the status will remain Unpaid until the full balance is cleared.

Additional fields such as Billing Email list the billing contact’s email address tied to the invoice, and Payment Plan indicates whether the invoice is associated with a contract that has an active payment schedule. The Invoice Total column shows the full billed amount, while Balance displays any outstanding unpaid amount. Finally, the Pipeline Status column reflects the current stage of the invoice within your billing pipeline, which can be extremely useful for prioritizing follow-up actions or segmenting workflows. Tip: Use column customizations alongside filters to quickly build a workflow-friendly view for tracking past-due balances, syncing errors, or invoice delivery history.
