Invoice Callout Page

Quickly access and manage invoice details, payments, commissions, and QuickBooks sync status—all from the Invoice Callout panel in MediaOS.

What is an Invoice Callout? #

Selecting View next to an invoice in MediaOS opens the Invoice Callout Panel, which offers a detailed, at-a-glance view of all relevant information tied to that specific invoice. From this panel, you can access financial totals, associated contracts, applied payments, commissions, and QuickBooks sync status—without having to open multiple pages or tools.

Invoice Details #

At the top of the callout, you'll see key invoice data such as the account name, account owner, payment status (paid or unpaid), total value, terms, notes, and the invoice's created and due dates. The panel also displays the pipeline status and a detailed breakdown of the subtotal, tax total, discount amount, total invoice value, amount paid, and balance due.

You can click the arrow icon next to the account name to navigate directly to that account's page. Clicking the contract number will take you to the corresponding contract callout panel for deeper context. If your account is integrated with QuickBooks Online, the invoice’s external number will appear beneath the MediaOS invoice number. An Import ID will also be shown if the invoice was brought into MediaOS from an outside source.

Invoice Action Items #

Beneath the invoice details, you’ll find several key action buttons:

Click Edit to open the Invoice Edit window and make changes. To learn more about how to edit invoices, click here. Use Email to launch the email editor and send the invoice to your client. Click here to learn more about emailing invoices. The PDF button generates a printable or downloadable version of the invoice. You can also Delete the invoice, though this option is restricted to users with the proper permissions (Sales users cannot delete invoices). If you wish to mail the invoice, select Print to send it to MediaOS’s integrated printing service for delivery at a rate of $1.59 per invoice.

Line Items #

The Line Items section displays all products and services included in the invoice. You can click the calculator icon next to a line item to view a detailed breakdown of how its value is calculated.

Applied Payments #

'In the Applied Payments section, you can view all payments that have been applied to the invoice. Each entry includes a View button, which allows you to unapply the payment or adjust the payment date. You can also use the New Payment button to apply a new payment to the invoice. For more details, refer to the article on Creating and Applying Payments.

Commission #

The Commission section displays commissions tied to individual line items. It shows the name of each item, the rep earning commission, the commission table used, the commission percentage, the principal amount, and the total commission earned. When a commission has been paid, a green checkmark with a “Paid” label will appear. Items without this marker indicate unpaid commissions.

To understand how a commission was calculated, click the Explanation tab. You can also click Update Commissions to refresh the data and display the most current commission information.

Quickbooks Integration #

Note: This section appears only if your MediaOS account is integrated with QuickBooks Online.

The QuickBooks section displays the invoice’s sync status. If you see a message that says “Things are matching up,” the invoice has been successfully synced. If there is a problem with the sync, MediaOS will display the error message and provide guidance on how to fix it. If the issue persists, reach out to support@mediaos.com for assistance.

Activity Feed #

The Activity Feed provides a timeline of all actions taken on the invoice, including edits, payments, sync attempts, and more. This feature helps teams track the invoice history for better transparency and internal accountability.
