Searching and Filtering Invoices

Use the advanced invoice filter to quickly locate records by account, contract, payment status, line item, and more.

Why Use the Invoices Filter? #

The Invoices Filter in MediaOS allows you to narrow down and locate specific billing records using powerful search criteria. Whether you're tracking down unpaid invoices, reviewing products tied to a campaign, or generating a list of invoices sold by a specific user, the filter makes it easy to find what you need without combing through multiple reports.

Accessing the Invoices Filter #

To open the invoice filter, click Accounting in the left-hand navigation menu. Once you're on the Invoices screen, click the magnifying glass icon located above your invoice list. This will reveal the filter panel where you can begin customizing your search.

How the Filter Works #

Filtering in MediaOS is based on an "and" relationship, meaning that if you select multiple criteria across fields, only invoices meeting all conditions will appear in the results. The filter is divided into several tabs—Invoice, Payment Plan, Line Items, Contract, and Custom Fields—each offering unique ways to refine your search.

The Invoice Tab #

The Invoice tab allows you to search by core attributes such as Account Name, Agency Name, Invoice Total (minimum and maximum values), Invoice Status (paid, unpaid, or void), and Account Owned By. You can also filter by whether an account has an email address, enter a specific QuickBooks No., and use Created Between or Due Between fields to define a date range for invoice activity.

The Payment Plan Tab #

In the Payment Plan tab, you can search for invoices that are tied to an active payment plan. You can refine further by Payment Plan Status (such as current or past due) and whether the plan is set up with Auto Pay.

The Line Items Tab #

The Line Items tab lets you filter invoices by specific line item attributes. You can search by Product Type, Product, or by characteristics like Issues, Sections, Unit/Size Name, and Placement. When selecting multiple products, the system treats the input as an "or" relationship—returning results that match any of the selected products.

The Contract Tab #

In the Contract tab, you can filter by Sold Between dates to find invoices tied to contracts sold during a specific period. You can also search by Sold By to isolate contracts handled by a specific user or sales rep.

The Custom Fields Tab #

If your organization uses custom fields on invoices, the Custom Fields tab will appear in the filter. This tab lets you search based on custom attributes that have been configured for your account.

Note: If no custom fields are currently in use, this tab will not be visible.

Filtering and Saving Your Results #

Once you've entered your search criteria, click Filter to view your results. If you expect to use the same criteria regularly, click Save as New Tab to create a saved filter. You’ll be prompted to name your filter, and once saved, it will appear as a new tab across the top of the Invoices window.

To manage your saved filters, click the down arrow next to the tab. From there, you can edit the search criteria or add the filter to your dashboard for quick access each time you log into MediaOS.
