View & Edit Invoices

Use the Invoice Details page in MediaOS to manage, modify, and maintain all aspects of your client billing.

Why Use the Invoice Details Page? #

The Invoice Details page in MediaOS gives you full visibility and control over your invoicing process. From this view, you can edit line items, apply payments, write off balances, delete invoices, or even sync to QuickBooks—all in one centralized location. Whether you're correcting an amount, adding a discount, or preparing to send, this page is where you’ll manage your invoice workflows.

How to Access an Invoice #

To view an invoice, start by clicking Accounting in the left-hand navigation menu. On the Invoices tab, find the invoice you want to manage and click View.

This opens the Invoice Details Panel, where you can review invoice-level data including line items, payment records, commissions, and financial summaries. If you need to make changes, click the Edit button to open the invoice editor.

Using the Invoice Edit Window #

Once in the Invoice Edit window, you’ll see a structured layout of all relevant billing information. At the top of the page, you'll find details like the client name, invoice number, balance due, email and billing contacts, payment terms, and both invoice and due dates.

If the invoice includes commissionable items, you can enable the Pay Commissions toggle switch to ensure payouts are tracked accordingly.

The Line Items section displays all products or services tied to the invoice. For each row, you’ll see the line item number, description, associated product, and financial amount. If needed, you can drag and drop rows in this section to rearrange the line items into a preferred order.

To edit a specific item, click on the line. This opens a set of editable fields, including the Product/Service/Line Item dropdown, a Description field, and an Amount field where you can enter the billed total. If the item is taxable, use the Tax checkbox to flag it. If custom fields are configured for your organization, you can access them using the Custom Fields button. To remove a line, click the Delete button next to it.

To add more items to the invoice, click the Add Line button. You can also apply a discount by choosing between a fixed or percentage-based option and entering your discount value in the provided field. If you need to leave internal notes or client-facing comments, use the Comments field below the line items section.

Once your updates are complete, click Save Invoice to apply your changes.

Tip: Look for the QuickBooks icon next to the product name—this indicates whether the item is properly mapped or if action is required before syncing.
