MediaOS pipelines and workflows are powerful tools that let you visualize your sales process, manage client journeys, and leverage automation—all in one streamlined system. Whether you're managing leads, tracking ad collection, or handling renewals, pipelines in MediaOS allow you to customize stages, assign statuses, and trigger automated actions that boost productivity and reduce manual work.
How to Set Up Pipelines in MediaOS #
To begin building a pipeline, start by navigating to the Automations tab on the left-hand menu. Once there, select Pipelines from the top menu. A submenu will appear just below, where you can choose the type of pipeline you want to configure. MediaOS supports a wide range of pipeline categories, including Accounts, Agencies, Contacts, Contracts, Deals, Content, Line Items, Requests, Invoices, Members, Memberships, Payments, Tasks, and Products. After choosing your category, use the Select Pipeline dropdown to filter and manage the specific pipeline you’d like to work with.
Once inside a pipeline, you’ll see a list of pipeline statuses associated with that particular workflow. These statuses form the backbone of your process and can be edited or expanded to fit how your team operates. For example, in an Accounts pipeline, you might use statuses like Currently Advertising, Up for Renewal, First Call, Warm, Qualified, Sold, Cold, Opportunity, Interested, or Proposal. In a Contracts pipeline, typical statuses might include Up for Renewal, Active Negotiation, Non-Renewed, or Renewed. As you move through your workflows, you can assign pipeline statuses to individual items, such as contracts or sales leads, by accessing the relevant section of the platform and applying the appropriate label.
Tying Automations/Workflows to Pipeline Statuses #
Each pipeline status can be tied directly to automations or workflows. This allows you to automatically trigger actions when a lead or client reaches a particular stage. To set up automation for a pipeline status, go back to the Automations tab on the left-hand menu and click on Pipelines in the top menu. Use the dropdown menu under Select Pipeline to choose the workflow you'd like to automate.
After selecting a pipeline, click on the Automation tab that appears below. You will now see a grid displaying each status within that pipeline. Find the status you want to automate and click Create Workflow beneath it. This will allow you to define an automation that activates whenever a record is moved into that status—streamlining your operations and saving time.
Managing Ad Collection Through Pipelines #
To improve visibility and tracking of your advertising process, MediaOS recommends creating a dedicated pipeline for ad collection. This specialized pipeline makes it easy to monitor the status of each ad throughout its lifecycle. Begin by clicking Automations on the left-hand menu, followed by Pipelines in the top navigation. From the submenu, select Line Item as the pipeline category. Then click + New Pipeline to initiate a new workflow.
In the dialog box that appears, enter a name for your ad collection pipeline and click Save. Once your pipeline is created, you’ll want to set up its statuses. To do this, click + Add Pipeline Status, assign a name to your new status, choose a color to represent it, and click Save again. Common status names for an ad collection pipeline might include Order Placed, Ad Materials Collected, Ad Materials Needed, Send for Internal Design, Client Approval Pending, and Approved. These statuses help your team quickly understand where each ad stands and what needs to happen next.
