Deactivating a user in MediaOS is a simple way to remove access without losing valuable reporting history. Whether an employee has left the organization or simply no longer needs login credentials, you can deactivate their account while preserving their activity for future reference.
How to Deactivate a User #
To begin, log into MediaOS and click your profile avatar in the bottom-left corner of the screen. From the dropdown menu, select Users to open the user management panel. Locate the user you want to deactivate and click the orange Edit button to the right of their name.
Inside the user profile, uncheck the Login Enabled option. Once unchecked, click Save to apply the change. The user will no longer be able to log into MediaOS, but their historical data—including deals, accounts, and contracts—will remain in the system.
Accessing a Deactivated User’s Data #
Even after deactivation, you can still include the user’s records in reports by selecting their name in filters such as Accounts Owned By. However, it’s important to note that certain reports may require the user to be active in order to access their data. In those cases, you can temporarily re-enable the user by following the same steps and rechecking the Login Enabled box.
Please note that Inactive Users are considered billable licenses.
Archiving a User #
To remove a user license from your account, click "Archive" next to a license. This will free up a user license to be used for another user or if you are in excess of your contracted user licenses, remove that license from your account.
