Using Integrations in Workflow

MediaOS makes it easy to connect your favorite tools directly into workflows—allowing you to automate communication, sync project boards, trigger mail sends, and more without ever leaving the platform. By leveraging integrations with Slack, MailChimp, Monday.com, and Lob, your team can stay aligned and proactive while reducing manual tasks across the board.

Accessing the Integrations Area #

To manage your integrations, start by clicking your name in the bottom-left corner of the MediaOS interface. From there, select Integrations from the menu. This area displays all currently available MediaOS integrations and gives you the ability to configure or manage their settings.

Warning: You must have Administrator permissions enabled to access or update anything in the Integrations section.

Some integrations are designed to be used specifically within workflows, allowing you to build automated sequences that include steps like sending a Slack message or mailing a postcard through Lob.

Workflow-Specific Integrations #

Several key integrations are built directly into the workflow system and are optimized for automation. These include Lob, MailChimp, Monday.com, and Slack.

The Lob integration allows you to send physical mail, such as postcards or letters, directly from a workflow. To activate this feature, click Configure beside Lob and enter your Lob API Key. This integration requires an active Lob subscription and should only be used with features your account supports.

With MailChimp, you can automatically sync advertiser or member contact data into designated MailChimp lists. This is especially useful for triggering follow-up email campaigns after member signups or contract completions. To configure the integration, click Configure and input your MailChimp API Key.

If you’re using Monday.com to manage tasks and project workflows, MediaOS can automatically create and assign tasks to specific boards based on workflow triggers. Once connected, you’ll be able to define task names, assign users, and include subtasks—all using merge tags to personalize the task content.

Finally, the Slack integration helps your team stay in the loop by posting automated notifications in your Slack workspace. You can choose which Slack channel receives updates and use merge tags like Account Rep and Account Name to personalize the message.

Adding Integration Steps to a Workflow #

After you’ve configured the integrations you plan to use, head over to your Workflow Builder to incorporate them into your automation. When you click the + button to add a new step, you’ll see the integration-specific actions (Slack, MailChimp, Monday.com, Lob) appear alongside standard MediaOS workflow steps.

For example, if you want to notify your team when a contract is marked as won, you can add a Slack step. After selecting this step, choose the appropriate channel and craft a message using merge tags. A typical message might say: “{{Account Rep}} has just sold a contract to {{Account Name}} 🎉.” This alert is sent in real time, ensuring your sales wins are celebrated and tracked.

If you're looking to add a new contact to a MailChimp list, simply insert the MailChimp step into your workflow. From there, select the appropriate list from your MailChimp account. Lists are filtered based on workflow type—so if you're working with a contract workflow, you’ll only see lists that apply to contract-related contacts.

To create a task in Monday.com, add the integration step and choose which board to assign the task to. You can define a task name using merge tags—for example, “{{Account Name}} – Follow Up”—and also include subtasks if needed. Just be sure that your Monday.com integration is active, as board options will only display when properly connected.

When sending physical mail via Lob, choose the Send Mail via Lob step. Then define who the mail should go to, such as the Account Primary or Billing Contact, and input a Return Address. You’ll also need to select the Mail Type—like postcard or letter—and apply a Print Template from your library. These templates are managed through the Print Template Editor and are entirely separate from standard email templates.

Warning: Only use features supported by your Lob subscription. Options like double-sided printing or return envelopes may result in extra charges if not covered by your plan.
