Customizing your personal settings ensures your MediaOS experience is tailored to your role, communication style, and workflow. From setting your display name to integrating your email, these tools help you work more efficiently and professionally across the platform.
Accessing Personal Settings #
To access your Personal Settings, click your profile picture in the bottom-left corner of the screen and select Personal Settings from the menu.
Note: What you see here may vary based on your user permissions.
Profile Preferences #
In the Profile section of your personal settings, you can update key preferences such as your Display Name, Time Zone, Font Size, and Password to customize your MediaOS experience.
Note: Admins can also update this info by navigating to Users via the profile menu.
Signature Settings #
In the Signature tab, you can configure how your contact information appears on contracts and emails, ensuring consistent branding across communications. You can also enable the Daily Email Digest to receive a summary of activity from your MediaOS account. Additional options include setting a Top Line for comp subscriptions—used in address envelopes—and defining a Default Contract Header, which appears in the top-right corner of every contract PDF.
Email Signature (HTML) #
Your email signature must be in HTML format to display properly. We recommend using tools like HubSpot’s free email signature generator to create one. Once you’ve generated the HTML, paste the code into the signature field. Use the Preview option to check how it looks, and click Validate to ensure the formatting is correct.
Contract Templates #
The Contract Templates section displays all available templates you can use, showing details like the template name, associated logo, and contact information. If a template is populated, it will override your default contract header. To streamline your workflow—especially if you work across multiple brands—you can click Set User Default to automatically apply your preferred template when creating contracts.
Email Templates #
Email Templates are designed to streamline one-on-one communication using text-based messages. They are not intended for use with HTML campaigns, but are ideal for tasks like signature requests, friendly follow-ups, and other personalized outreach. Admins can create and share these templates to ensure consistent messaging across the team.
Email Integration #
To connect your email in MediaOS, navigate to the Email Accounts tab and click + Email Account, then enter your email address. If you're using G Suite, follow the prompts to authenticate through Google and grant permissions to nyas.com, MediaOS’s email provider. Once connected, you’ll see key details including connection status, assigned user, last received time, and send/receive status—ensuring everything is properly synced.
Advanced Settings #
In the Advanced Settings section, you can use Custom Outbound Settings to configure SMTP or other advanced email options. Click View to see a list of recently processed messages, or select Disable Auto Import if you prefer to send emails from MediaOS without receiving them. To disconnect or remove an email account entirely, use the Trash icon.
Note: If your email ends in @gmail.com, it cannot be connected due to Google restrictions.
Email Behavior in MediaOS #
Only emails involving existing MediaOS contacts are logged, while personal emails—such as those sent to non-contacts—are automatically excluded. Emails sent from MediaOS will also appear in your Gmail Sent folder, and vice versa. You can view and send emails directly within MediaOS using the Today tab for an inbox-style view, or by clicking the Quick Add button to compose a new message.
