Sending Account Statements

MediaOS makes it easy to send statements for past due accounts, helping you stay on top of outstanding balances and maintain clear communication with your clients. Statements provide a summary of unpaid invoices, aging balances, and payment history, making them a valuable tool for both internal tracking and external follow-ups. Whether you're managing a few overdue accounts or need to send reminders in bulk, we'll help you streamline the process.

Sending Statements #

To send account statements, start by logging in and clicking Accounting from the left-hand navigation menu. Then, click the Send Statements button to open the Create Statements window. In the left-hand pane, fill out the required details to customize your statements. Use the Date Range field to filter for statements within a specific time frame, and select the desired Template for formatting. Under Display, choose whether to show only past due invoices or the full transaction history. You can also check the boxes to Include Alternative Payment Statement—which adds any barter or non-traditional payments—and Include Invoice Line Items to display itemized invoice details in the statement.

Once your filters are set, the Statement Results pane will display a list of matching statements. From here, you can select the checkboxes next to the statements you wish to send and click Download PDF to save copies locally. These PDFs can then be sent to your clients by any method you prefer.

Email Statements Window #

Another option is to use the Email Statements window within MediaOS to send statements directly. Simply fill in the sender’s email address, compose your message, and click the Send Statements button to deliver them electronically.

Why is my statement total incorrect? - Check to see that you're including the correct dates when filtering your statements. Additionally, if you've assessed additional fees or discounts at the invoice level, ensure that the contract is not on a payment plan, as payment plans allocate only for the contract amount.
