Setting up your account begins with customizing your General Settings, a crucial step that defines user permissions and overall accessibility. Designed exclusively for admin users to access, the General Settings panel offers powerful controls to personalize the platform. Admin users can access these settings by selecting their profile photo, then navigating to System Settings > General Settings. The intuitive interface includes a convenient search bar at the top of the page, allowing admin users to quickly locate specific settings or browse through a comprehensive, organized list of options.
Note: Any changes made within the General Settings section apply account-wide, impacting all user accounts across your MediaOS. This ensures consistency in system behavior throughout your account. There is a built-in Auto-Save feature, so there’s no need to manually save after editing your changes.
Accounting Settings #
Within Accounting Settings, you can configure how financial operations are handled. You can enable the application of a convenience fee to automatic payments by setting a fee percentage later in the settings. General Ledger Account Codes can be activated to track transactions on products and contract line items. You may set a Grace Period to delay the application of finance charges. Issue Name Year allows you to remove automatic year additions to issue names on contracts and invoices. The Lock Accounting As Of setting prevents any changes to invoices or payments prior to the selected date. Reporting options allow you to choose whether revenue is recorded based on the user who sold the contract or the user who owns the client account. Ad Proof Settings #
Ad Proof Settings allow you to customize how proofs are managed and approved. You can allow external users to download ad proofs and automatically upload approved proofs into your ad library. Clients can approve or reject proofs through portal links, and additional conditions can be set requiring comments for approvals or declines. Internal users can also be given the ability to approve proofs directly through the Delivery - Ad Requests section. Post-approval, the ad file can be automatically assigned to its corresponding line item.
Agency Settings #
Agency Settings include Agency Visibility, which permits all sales users to view agencies and their associated contacts when toggled on.
Alternative Payments Settings #
Within Alternative Payments Settings, you can set the system to ignore any line items marked as Alternative Payments that fall before a specified date.
Auto-Renewal Settings #
Auto-Renewal Settings allow you to define a Line Item Default Lead Time. Line items within the specified day range will automatically renew, assuming Auto-Renewal is enabled on the corresponding products and line items.
Commissions Settings #
When configuring Commissions Settings, it is recommended to use only one setting at a time. You can set rules to ignore payments or invoices before certain dates, preventing commissions from being paid on outdated transactions. The system also allows the enabling of commission splits, letting two sales representatives share commissions.
Contract Settings #
Contract Settings offer a range of customization options. You can prompt signees to enter payment information after signing contracts, allow sales users to edit line item descriptions, and set a default contract template. You can also allow or prevent deletion of line items from sold contracts, remove the ability for sales reps to manually win contracts without signatures, and hide product type categories, subtotals, and tax columns on contract PDFs. Deals Settings #
Deals Settings include an Auto Re-assign feature that automatically changes the owner of a deal to the person who sold a related proposal.
Email Settings #
Email Settings allow you to disable tracking pixels on outgoing emails, which can help prevent spam filtering and increase deliverability.
Email Sync Settings #
With Email Sync Settings, you can automatically create contacts based on incoming emails if the domain matches an account, and you can block email domains from being imported to maintain data cleanliness.
Freelancer Settings #

Goals Settings #
Goals Settings include an Auto Sum Goals feature, automatically updating top-level company goals based on the sum of individual user goals, removing the ability to set manual top-level goals.
Invoicing Settings #
Invoicing Settings empower you to allow sales reps to create invoices, automatically attach invoices to batch emails, set default due dates, configure finance charge rates, and establish the minimum finance charge. You can also manually set the next invoice number to control invoice sequencing.
Invoicing Rules Settings #
Invoicing Rules Settings allow contract notes to copy over to invoices, enable custom creation dates, and establish rules that prevent invoicing for contracts or items sold before specific dates.
Lead Scoring Settings #
Lead Scoring Settings create a dynamic environment for encouraging lead activity. Admins configure a points system based on activities such as adding notes, booking appointments, submitting lead forms, tracking loss rates, and marketing email interactions. Points influence lead rankings, and a weekly reduction rate helps ensure active engagement is needed to maintain high lead scores.
Leads Fair Game Settings #
Leads Fair Game Settings allow accounts to become available to other users after a period of inactivity. You can set the number of days since the last line item or outbound activity before an account becomes eligible for reassignment.
Merge Tags #
Merge Tags can be added to statements to display Alternative Payments, Line Item Details, or only show past due amounts.
Notifications #
Notifications settings let you enable or disable alerts for the accounting and delivery teams when new contracts are won.
Payments #
The Payments settings automate the charging of payment plans and invoices when a credit card is saved and billing preferences are set on a contract.
Payment Portal and ACH Settings #
The MediaOS Payment Portal provides a secure space for advertisers to view, manage, and pay invoices online. Advertisers can track payments in real time, access a full transaction history, download invoice copies, and receive automated payment reminders set up through your MediaOS settings.
The ACH Incentive Settings feature encourages clients to pay via ACH (Authorize.net eCheck) instead of credit cards by offering incentives based on unpaid contract values. Clients must not already be on auto-pay, must transact in USD currency, and must be located in the United States. Payments require an ACH setup with MediaOS and eCheck enabled through Authorize.net.
Incentives are funded through $1,000 minimum ACH deposits to MediaOS, with a 30% monthly fee added to cover gift card purchases. Offers require a minimum value of $10, are capped at $200, and are calculated on the total unpaid contract value.
You can customize incentive strategies with several options. The Minimum setting suits average contract sales of $10,000+, with no offers for contracts under $1,000. The Medium setting targets average sales of $4,500+, with no offers under $500. The High setting aims to break even on credit card fees, ideal for contracts of $2,000+, with no offers under $350. The Extreme setting maximizes opt-ins and cashflow, offering the strongest incentives at a slightly higher cost.
ACH Incentive Auto Refill automatically recharges the incentive fund with $1,000 when low. You can manage your ACH Incentive Balance, add funds, and view your ledger directly in MediaOS. Additional settings include entering a Credit Card Payment Convenience Fee, sending Direct Payment Notifications to accounting, disabling address requirements for credit card payments, activating E-commerce Checkout for self-service product purchases, and setting Terms and Conditions for proposals and contracts.
Reporting Settings #
Reporting Settings determine how reports summarize data, whether based on the salesperson who sold the contract or the current account owner.
Sales Settings #
Sales Settings allow you to show contact owners on advertiser accounts, require discount approvals, enforce approvals on merged accounts, permit entry of past contracts, and require payment information after signing a contract to complete its execution.
Sales Tax Settings #
Sales Tax Settings can automatically assign tax rates to contracts to ensure compliance and accuracy.
Security Settings #
Security Settings mostly impact users below the admin or sales manager roles. You can enable account ownership visibility, unlock contract editing, control email visibility on activity feeds, notify admins of exports, lock new leads by default, and adjust visibility into accounts and agencies. Studio Settings manage your MediaOS Studio credit system, allowing automatic refills when balances drop below eighteen credits, ensuring you always have credits available when needed.

System Settings provide core system customization. You can set up API authentication tokens, determine the number of years before items are archived, configure your home currency, and set the account time zone, ensuring the platform operates according to your operational needs.
