MediaOS gives you flexible, easy-to-use tools to categorize and segment your accounts. With Lists, Tags, and Custom Fields, you can tailor your workspace to match your team’s workflow and surface exactly what you need—fast. the system.
Utilizing Lists #
You can find your lists by clicking Accounts using the left-hand navigation menu. From there, click the Lists tab at the top of the Accounts Page. Here, you will see all of the lists in your system.
- The name column displays the name of the list.
- The visibility column displays whether this list is a public or a private list.
- Shared - This list can be viewed by anyone in the system.
- Private - This list can only be viewed by the user who created it.
- The Accounts column displays how many accounts are in this list.
- The Contacts column displays how many contacts are in this list.
Editing a List #
- Click the Edit button next to the list that you would like to update.
- From here, you will be able to rename your list, change the visibility, and delete the list.
Adding a New List #
- Click New List in the top, right-hand corner.
- Name your list and select Create.
Adding an Account or Contact to a List #
- To add an account to a list, click on the Accounts tab to display the list of your accounts.
- Hover your mouse over an account name to display the record's quick view menu.
- Click on the List tab to view which lists this record is a part of.
- Click the Add button to choose the available lists that this record can be a part of.
- Here, you can search for and view existing lists. You can also use this dialog to create a new list.
- Hover your mouse over a list name to see the option to edit this list.
- Click on the name of the list to add the selected record to that list.
If you want to add a contact to this list, the steps are the same, but you will need to click the Contacts tab at the top of the Accounts module. Any list that displays the padlock means that this is a private list.
Filtering for Accounts or Contacts in a List #
To see which accounts or contacts are in a list, you can create a filter with the parameter for your list in the search criteria.
- Click the Magnifying Glass to display the filter, then use the List Field to select which list you would like to view.
- Click the Filter button when you are satisfied with your selections.
- You will see that all of the accounts that are part of this list are now showing.
Removing an Account or Contact from a List #
If you have an account that you do now wish to be part of a list, you can remove it in a similar way as creating a list.
- Hover your mouse over the record that you wish to edit to display the quick view.
- Click the Lists tab.
- Hover your mouse over the name of a list until the 'x' displays. Click the 'x' to remove this record from the list.
Adding or Removing Accounts from Lists Using Batch Action #
In order to add or remove multiple accounts to or from a list in one action, take the following step from the Accounts page:
- Go to the Accounts page and select the box next to the accounts you want to include in your list.
- Click the Batch Action dropdown menu at the top.
- Click Add to List or Remove From List depending on the action you'd like to take
- Choose the list you’d like to add them to and click Submit.
- Note: If no boxes are selected, all accounts will be added to the list.
Best Practices #
You can use lists for multiple different types of segmentation. Commonly, MediaOS accounts will use lists to create industry segments, call lists for the week, or specific contact lists for marketing.
Tagging Accounts #
Tags in MediaOS help you stay organized, build powerful account lists, and quickly surface the accounts that matter most to your team. Whether you’re segmenting by region, industry, campaign, or account status, tags give you the flexibility to work smarter.
Why Use Tags? #
Tags are a versatile way to group and identify accounts based on your team’s unique needs. Common use cases include:
- Segmenting accounts by region or territory
- Grouping by vertical, product interest, or campaign type
- Tracking account status, tier, or relationship stage
These tags become powerful search and filtering tools, making it easy to build custom views and reports.
How to Tag an Account #
Adding tags is quick and intuitive. Here's how:
- Click into the Tags field on the Account record.
- Type your desired tag and press Return or Tab to create it.
- As you type, existing tag suggestions will appear—click any to use them.
- The tag is now applied to that account!
Pro Tip: Use consistent naming for tags (e.g., “Enterprise” instead of “enterprise”) to ensure they're easy to search and reuse.
Managing Tags #
You can manage and explore tags in a few different ways:
- See All Tags: Click the List button (to the right of the Tags field) to view all tags currently in use, along with how many accounts each is attached to.
- Delete Tags: A tag will automatically be removed from the system once it's no longer used on any account.
Filtering by Tag #
To quickly find accounts with specific tags:
- Go to the Accounts Page.
- Open the Search Menu.
- Use the Has Tag field to enter one or more tags you'd like to filter by.
Combining tag filters with other search fields (like Account Status or Owner) lets you build precise, high-value account lists.
Custom Fields #
Custom Fields in MediaOS give you the flexibility to track data that's unique to your business. Whether you're classifying accounts by region, tagging restaurant clients by cuisine, or assigning team members to projects, Custom Fields help you customize the platform to fit your workflow.
What Are Custom Fields? #
Custom Fields are flexible, user-defined data points you can add throughout MediaOS. They allow you to organize, filter, and report on information that isn’t captured by default.
Use them to track:
- Industry or vertical
- Internal roles (e.g., Account Manager, Assistant)
- Regional or market segmentation
- Service tier, preferences, or tags
- Custom billing details or campaign types
Think of Custom Fields as your way to tailor MediaOS to reflect your real-world operations.
How to Create a Custom Field #
Adding a Custom Field is simple:
- Go to Settings > All Settings > Custom Fields.
- Click + Add Field.
- Fill out the required details:
- Field Name – Internal name (visible in Settings only)
- Display As – What users see on the front-end
- Field Type – Choose how users interact with the field:
- Text Box / Text Area
- Radio List
- Checkbox List
- Dropdown
For selection fields:
- Set Display Value (user-facing) and Actual Value (used in exports/calculations)
- You can keep these values the same or different depending on your reporting needs
🔍 Enable the Search toggle if you want this field to be included in filters and reports.
Once created, your team can begin using the Custom Field within its assigned section.
Where You Can Use Custom Fields #
Custom Fields can be added across key areas in MediaOS. Here’s where you’ll find them:
Accounts #
- Appears under the Details tab
- Click Edit to update the field
Contracts & Proposals #
- Located in the Contract Details panel
- Editable during creation or via the Edit button
Line Items (within Contracts or Proposals) #
- Scroll to Line Items, then click Edit
- Custom Fields appear at the bottom of the pop-up
Ad Requests #
- Available when creating a new Ad Request or editing an existing one
- Visible in Production > Ad Requests reports
Invoices #
- Add or update Custom Fields when creating or editing an invoice
- Visible in Accounting > Invoices reports
Invoice Line Items #
- Go to the invoice’s Line Items section
- Use the Options > Edit menu to update the field
- Data appears in Reports > Accounting > Invoice Line Items
Products Page #
- Add Custom Fields to products including Publications, Ads, Ad Sizes, Issues, and Locations
