Managing Auto-Renewals in MediaOS

Auto-renewals in MediaOS make it easy to automate recurring line items for contracts or proposals. This feature reduces manual workload while maintaining control over how long a product renews, which ads are reused, and whether associated fees carry over. Once set up, it ensures your campaigns continue running smoothly and on schedule.

Setting a Line Item to Auto-Renew #

Auto-renewals are available for Delivery Date and Issue-Based product types. With this feature, you can build a contract or proposal with a single line item that automatically duplicates itself at set intervals. Before using this feature, make sure two system-level conditions are configured:

Once these two prerequisites are in place, you can begin creating contracts or proposals that include auto-renewing line items.

Creating a Contract or Proposal with Auto-Renewal Products #

To create a new contract with auto-renewal functionality, click Sales from the left-hand navigation menu and then select + Contract. Fill out the contract details such as the account, deal status, and any required custom fields.

Next, choose a product that supports auto-renewals and complete the standard line item setup. Click Add Item to insert it into the contract. Once the item is added, hover over it to reveal additional icons, and click the auto-renewal icon, followed by the Setup button to begin configuration.

In the auto-renewal setup window, enter a Renew Until date, which determines when the renewal cycle should stop. If needed, you can override the default lead time by specifying a custom number of Renew Days in Advance. Then, select a line item status, which defines the pipeline stage each renewed item will enter once created.

Two additional options are available to enhance automation. Enabling Copy Most Recent Assigned Ad will apply the latest primary ad from the parent line item to each renewal. Enabling Copy Associated Fees and Discounts ensures that any extra line items—such as fees or discounts configured in General Settings—are also carried over.

When you're finished configuring the renewal settings, click Finish Renewal Setup to apply the changes. Your contract will now include a line item that renews automatically, helping you streamline contract management and improve consistency for long-term deals.

Cancelling or Updating an Auto-Renewal #

If you need to update or cancel an auto-renewal, begin by opening the contract in question and clicking Edit. Hover over the relevant line item and click the Options button that appears.

From there, scroll to the bottom of the expanded view and select Edit again to access the auto-renewal settings. Locate the Renew Until field and update it with the desired end date. Once the date is set, click Update to save your changes.

This adjustment ensures that the line item will only renew up until the date you’ve specified, giving you precise control over how long the auto-renewal remains active.
