Memberships Setup Guide

Use this guide to configure memberships using MediaOS tools. These features help centralize member data, create paid subscription models, and showcase business listings across publication sites. #


Membership Setup #

Step 1: Define Membership Tiers #

Membership tiers define the levels of access or benefits a user receives. These could include offerings like Gold, Platinum, or Subscriber.

  • Navigate to System Settings > Members > Membership Tier Types.
  • Click + New Tier to create tiers such as Default or Subscriber.
  • These tiers can control access to gated content, pricing, or exclusive offers.

Step 2: Create Membership Types #

Membership types link to actual subscriptions or access models.

  • Go to Members > Membership Types.
  • Click + New Type and define the membership (e.g., Kokomo Magazine Subscription, Directory Listing).
  • Choose Issue-based (e.g., 12 issues/year) or Time-based (e.g., annual).
  • Link to a specific Publication if applicable.

Step 3: Build Member Products #

  • Navigate to Members > Sales > Products.
  • Click + Member Product and enter:
    • Product Name (e.g., Subscription to Kokomo Magazine)
    • Description and optional image
    • Product Type: Membership
    • Tie it to a Membership Type
    • Define quantity (e.g., 12 issues)
  • Save the product.

Step 4: Configure Offers and Pricing #

Offers define pricing models for the products you created.

  • Go to Sales > Offers > + Offer
  • Enter:
    • Offer Name (e.g., 1-Year Subscription to Kokomo Magazine)
    • Visibility (active, hidden, or account-restricted)
    • Pricing tiers and discounts
    • Optional: Auto-renewal settings and promo codes
  • Assign the corresponding Product.
  • Save the offer.

➡️ Tip: Turn on Auto-Renewals to reduce churn and simplify member retention.


Website Integration #

Step 1: Add Your Website #

  • Go to Websites > New Website
  • Enter the name and domain (e.g., townpost.com/kokomo)
  • Add Super Admin WordPress credentials.
  • Install the MediaOS Plugin (provided via .zip file upload).
  • Connect the site.

Step 2: Embed Offers #

  • Go to Sales > Offers > Embed in Website
  • Copy the embed code and paste into your WordPress page or sidebar.
  • Choose between:
    • Individual Offers
    • Full Store Embed (all offers)

➡️ Note: Full store embeds show all offers. To feature only select offers, use individual embeds.



Subscriber / Membership Imports #

Format CSV for Import #

Required fields for import:

  • First Name
  • Last Name
  • Issues Left
  • Copies

➡️ Tip: Separate CSVs by publication or clearly label them with a Magazine column.

To import:

  • Click on Your Profile Picture in the Bottom Left > Import > Memberships
  • Upload CSV and map fields
  • Choose whether to add or renew based on duplicates

➡️ Note: You can manually map columns during import, and there’s no need for exact header names.


Automation & Renewals #

  • Set issues remaining when importing legacy subscribers (e.g., 7 to end the year).
  • Use automations to email members when nearing expiration.
  • Automations can trigger:
    • Renewal reminders
    • Special offers
    • Conversion prompts from free to paid

➡️ Note: MediaOS supports mailing integration for one-time postcards or physical outreach if no emails exist.


Payment Processing #

  • Click on Your Profile Picture in the Bottom Left Corner > System Settings > General Settings
  • Search Payment Gateways
  • Under Member Invoices select the payment processor you would like Membership Revenue processed with

  • Integrate Your Website with MediaOS
  • Select Your Payment Processor in System Settings
  • Set up Membership Tiers & Membership Types first
  • Then configure Products and Offers
  • Import Subscriber CSVs once ready for import
  • Embed Your Store on your Website
