Using Integrations in Workflow

Integrating third-party tools with Workflow allows you to automate your processes and keep your team in sync—without switching tabs. These integrations enable you to send physical mail, update project boards, notify your team, and sync contact lists—all directly from within MediaOS.

Accessing the Integrations Area #

To view and manage your available integrations:

  • Click your name in the bottom-left corner.
  • Select Integrations from the menu.

⚠️ Warning: You must have Administrative permissions to access this area.

This section will display all available MediaOS integrations. Some of these are designed specifically for use with Workflow automation.

Workflow-Specific Integrations #

The following integrations are designed to work directly within the Workflow system:

Lob #

Lob lets you automate the sending of physical mail pieces such as postcards and letters.

  • Requires an active Lob subscription.
  • Click Configure and enter your Lob API Key to activate the integration.

MailChimp #

With the MailChimp integration, you can sync advertiser or member contacts from MediaOS into designated MailChimp lists.

  • Click Configure and input your MailChimp API Key.
  • This is ideal for email marketing follow-ups after member sign-ups or contract completions.

Monday.com #

Automatically create and assign tasks in Monday.com based on events triggered in your workflows.

  • Choose specific boards and define task names.
  • Supports merge tags for personalized task details and subtasks.

Slack #

Use Slack to post automated notifications to your team when key workflow events occur.

  • Set up different channels to receive messages (e.g. #sales-wins).
  • Personalize your message using merge tags like Account Rep and Account Name.

Adding Integration Steps to a Workflow #

Once you've configured the integrations you plan to use, you can add them to your Workflow by clicking the + button to add a step.

Steps specific to your configured integrations (LOB, MailChimp, Slack, Monday.com) will appear alongside standard workflow options.

Example: Sending a Slack Notification #

To send a Slack message when a contract is marked as won:

  1. Click the + button in your workflow builder.
  2. Select the Slack integration step.
  3. Choose the Slack channel to post in.
  4. Use merge tags to personalize the message. Example:
    • "{{Account Rep}} has just sold a contract to {{Account Name}} 🎉"

Example: Adding a Contact to MailChimp #

To add a contact to a MailChimp list:

  1. Choose the MailChimp step in your workflow.
  2. Select the appropriate list from your synced MailChimp account.
  3. List options are filtered based on workflow type (e.g. contract, contact, member).

Example: Creating Tasks in Monday.com #

If Monday.com is integrated, you can:

  1. Choose the board to assign the task to.
  2. Define a task name using merge tags (e.g. "{{Account Name}} - Follow Up").
  3. Add subtasks if needed.

⚠️ Warning: Boards will only display if your Monday.com integration is active.

Example: Sending Mail via Lob #

To send a printed mailer automatically:

  1. Select Send Mail via Lob from your workflow steps.
  2. Define:
    • Mail To Address (e.g. Account Primary, Billing Contact).
    • Return Address.
    • Mail Type (e.g. postcard, letter).
    • Print Template.
  3. Use the print template builder to create and customize your mail piece.

➡️ Tip: These templates are separate from email templates and are managed in the Print Template Editor.

⚠️ Warning: Be sure to only select features supported by your Lob subscription (color, double-sided printing, return envelopes, etc.). Otherwise, you may incur unexpected charges.
