To ensure a smooth and seamless transition, it’s important to understand our structured onboarding process and what’s expected from you and your team. Onboarding is a collaborative effort, and each member plays a vital role. To keep you informed and set up for success, we’ve outlined our step-by-step onboarding process below. The Onboarding Process #
Welcome Email #
Once you complete your MediaOS registration, you’ll receive a welcome email from your Onboarding Specialist. This email will include your initial account details, a sample onboarding packet, a proposed date and time for your introductory call, and other key information to help you get started smoothly.
Onboarding Intro Call #
Your introductory call is a key step in your onboarding journey. This session will give you a clear overview of your onboarding schedule, data migration process, and user training expectations. While this isn’t a training session, it’s designed to set you up for success by outlining the process ahead. To keep things efficient, only decision-makers or your designated onboarding point of contact should attend.
Pre-Onboarding Check-Ins #
Your Onboarding Specialist will check in with you weekly leading up to your official onboarding start date, ensuring you have the support and guidance needed for a seamless transition. These check-ins are an opportunity to address any questions, clarify next steps, and help you feel fully prepared. Of course, if you ever need assistance between check-ins, don’t hesitate to reach out—we’re here to help every step of the way!
Data Migration to MediaOS #
Your Onboarding Specialist will determine the most effective import method for your data. If you're migrating from Salesforce, AdOrbit, Magazine Manager, Launchpad, or Zoho, we’ll use backup files for the import. For all other data sources, you'll provide CSV files formatted using our import tool templates to ensure accuracy.
Key Data Migration Milestones #
During your MediaOS onboarding process, there are several critical milestones to ensure a smooth and accurate data migration.
The first milestone is Data Delivery Day. You will be given a specific deadline by which all final data must be submitted to your Onboarding Specialist. It is important to carefully review and verify your data before submission, as no additional data files can be accepted after Data Delivery Day. This deadline marks the point where your onboarding team will begin preparing your files for import, so accuracy and completeness are essential.
Following the data import, you will enter the Import Review phase. During this period, you will have the opportunity to review the imported data carefully. If you notice any discrepancies or errors, it is important to notify your Onboarding Specialist immediately so that any necessary corrections can be made before proceeding further.
Once the data has been fully reviewed and verified, you will move to the Data Approval milestone. At this stage, you will sign the Data Import Approval Guide to officially confirm that the imported data is complete and accurate. Signing the approval guide signals the completion of the data migration process and allows your team to move forward with product setup training.
Note: Staying closely aligned with these milestones keeps your onboarding on schedule and ensures your MediaOS setup is tailored accurately to your needs.
Product Setup Training Questionnaire #
Before your first training session, you’ll need to complete this Product Setup Questionnaire. This form provides our MediaOS trainer with essential details to develop a personalized training plan tailored to your specific needs and goals. To ensure a seamless training experience, the completed form must be submitted no later than noon the day before your first session.
MediaOS User Training #
Onboarding with MediaOS is a structured two-step process designed to ensure every user is fully prepared to get the most out of the platform.
The first step is to watch the role-specific training videos provided for your position. Before attending your live training session, all users are required to watch the assigned videos thoroughly. During this phase, it is important to take notes and write down any questions that arise. These questions will be addressed during the live session to ensure complete understanding. Training videos are available for different user roles, including Admin/Product Users, Sales Users, Accounting Users, and Delivery Users. Watching these videos in advance gives you a strong foundation and helps you make the most of your live training experience.
The second step is to attend your Virtual User Training session. Live training is essential for mastering MediaOS features and workflows. Each user must participate in a session that corresponds to their specific role. Information about training dates and times can be found on the last page of this guide, and a Google Calendar invitation will also be sent directly to your inbox. During the live training, a MediaOS trainer will guide you through key features of the platform, answer any questions you have, and assist with initial account setup if needed. Attending this session ensures you can confidently navigate MediaOS and immediately begin applying what you learn to your daily work.
Note: A Zoom recording will be provided after each session. These training sessions are by invitation only, and you will receive a calendar invite. Watch your training videos beforehand, as coming unprepared may slow you down.
Go Live #
Your account has been successfully set up, and all users have completed their training, so you're now fully prepared to go live! With everything in place, you'll be able to smoothly transition to using MediaOS, equipped with the knowledge and tools necessary to get the most out of the platform. We’re excited to see you start using MediaOS, and remember, we're here to support you every step of the way.
Post-Onboarding Support #
After onboarding, you will be assigned an Account Manager who will support you with account reviews and ensure you’re maximizing the potential of MediaOS. Please note, your Account Manager’s role is focused on helping you optimize your experience, and should not be confused with technical support.
For ongoing assistance, we encourage users to make use of our Knowledge Base, Chat Bot, Live Chat, and Live Training Sessions. Additionally, we offer monthly user-specific Q&A sessions to address any questions or challenges you may have.
